Privacy Policy

Severaro ("we", "us") is the operator of the Severaro platform and is responsible for the personal data described here. This notice explains what we collect, why, and the choices you have. This is an Early Access version (Early Access v1.1, 24 August 2026) and will be reviewed and updated as the product develops.

Players under 18 can hold a Severaro account only with a parent or guardian linked to it. Until that link exists the account cannot be used. Junior accounts are never shown to adults, never appear on a public page, and are only shown to other junior players where a parent or guardian has approved it.

We collect the same small set of details from a junior player as from anyone else, and we show far less of it. If you believe a child is using Severaro without a parent or guardian, contact privacy@severaro.com.

Information we collect

• Account details you provide: name, email address, date of birth, optional gender, and the sports you play or coach.
• Date of birth is required to create an account. We use it to confirm you meet the age requirement above and to group players by age band where a competition or a training match needs it. We store the date; we never store a computed age.
• Development data: goals, skills, coach assessments and ratings, session notes, homework and reflections you or your coach record.
• Optional community details: languages you speak, general area (city), availability and training preferences — only used if you opt in to Community — and any partner requests, blocks or reports you make.
• Tournament entries you make, and results recorded for matches you play.
• Records of which version of our Terms of Use and Privacy Notice you accepted, and when.
• Basic technical and product-usage data — such as which screens and features are used, and counts of sign-in attempts and outcomes — to run, secure and improve the service.

How we use it, and on what basis

• To provide the coaching, development-tracking, competition and community features you use — because you have a contract with us for the service.
• To connect you with your coach or training partners when you choose to.
• To keep the platform secure, prevent abuse, and improve it during Early Access — our legitimate interest in running a safe, working service.
• To confirm age eligibility and keep records of legal acceptance — to meet our own legal obligations.

We do not sell your personal data, we do not show third-party advertising, and we do not use advertising or cross-site tracking technologies. See the Cookie Policy for what we do use.

Who can see your data

• A coach you are connected with sees the development data inside that relationship. Ending the relationship ends that access going forward.
• Other opted-in athletes see only the community details you chose to publish, and only while Community visibility is on.
• Tournament organisers see the entries made to their own events.
• If someone else pays for your subscription (a family plan, a coach or organiser pack), they see your name and profile picture and the dates your place starts and ends — and nothing else. Your training data, messages and results are not visible to them.
• Our infrastructure providers process data on our behalf so the service can run — principally our database and authentication provider (Supabase) and our hosting provider (Vercel). They act on our instructions and do not use your data for their own purposes.
• If you use a voice note, OpenAI processes that audio and its transcript. See “Voice notes and AI” below — it is the only processing that leaves our own infrastructure, and it only happens when you use the microphone.

Voice notes and AI

Severaro lets a coach speak a session note, and an athlete speak a training log, instead of typing it. This feature uses an external AI provider, OpenAI, and it is the only part of Severaro that sends your data outside our own infrastructure for processing.

If you never use the microphone, none of this applies to you.

When you do use it, here is exactly what happens:

• The audio you record is sent to OpenAI to be transcribed into text.
• The resulting transcript is then sent to OpenAI a second time, to be organised into the fields you see on screen — a summary, strengths, things to work on, and so on.
• Severaro does not store the audio. It exists only for the length of that one request: it is never written to a file store, never given a URL, and cannot be played back afterwards, by you or by us.
• What Severaro saves is the TEXT you review and confirm, into the same session notes or training log it would have saved had you typed it. You can edit it before saving, and you can delete it afterwards like any other note.
• We also record how much the request cost us in processing units, so we can see usage. That record contains no part of what you said.

OpenAI is based in the United States, so using this feature involves a transfer of your data outside the EU and outside Türkiye. We are still working through the formal arrangements for that transfer and for OpenAI's role as a processor; until that is finished, please treat this feature as one to use deliberately rather than by habit.

A coach's spoken note may describe an athlete — including a junior athlete — and an athlete's spoken log is about themselves. A junior player using Severaro can use the microphone on their own training log; that is not currently gated by a guardian approval, and we are reviewing whether it should be.

If you would rather nothing you say is processed this way, do not use the microphone. Every voice feature in Severaro has a typing equivalent that reaches exactly the same screen.

How long we keep it

We keep your account data for as long as your account exists. If you ask us to delete your account, we remove your personal data and either delete or de-identify the records that must survive for other people — for example a completed match result also belongs to your opponent, so it is retained with your identity removed rather than erased from their history.

Two kinds of record are deliberately kept after an account is deleted, with the connection to you removed. Safety reports, because a report about someone else's conduct is not ours to erase and because deleting a report would let a blocked account return by re-registering. And, once payments are live, the record of an order — what was bought, for how much, under which terms — which we are required to be able to produce for tax and contract purposes. Neither record continues to name you.

Your rights

Depending on where you live you may have rights to access, correct, delete, export or restrict the use of your personal data, and to object to certain processing. To exercise any of them, email privacy@severaro.com. If you are in Türkiye, the same routes apply under KVKK (Law No. 6698), and you may also apply to us as data controller under Article 11 before contacting the Authority.

Your location and community data

Location is a coarse, self-reported city or general area — never a precise address, and never automatically collected. Community details are only visible to other opted-in athletes, and only while you keep Community visibility switched on.

Your choices

• You can edit or remove your community details at any time from Settings.
• You can turn Community visibility off so you are no longer discoverable.
• You can request deletion of your account and associated data.
